Data Destruction for Charities: Secure, Free and GDPR-Compliant

Charities hold some of the most sensitive data there is. Here is how to retire old equipment securely, at no cost, with the paperwork trustees need.

Charities carry the same duty as any business

Donor details, beneficiary case notes, safeguarding records, health information. Charities often hold special category data under UK GDPR, on equipment that is older and more widely shared than in most companies. Data on donated or volunteer-used laptops is a common blind spot.

The budget problem

Paid data destruction can cost several pounds per drive. That is hard to justify from restricted funds. As a result, many small charities keep old machines in a cupboard "until we sort it out". Free business IT collection solves this. Equipment with reuse or material value pays for the secure process.

What a secure process looks like

  1. We collect from your office, shop or project site. No minimum quantity.
  2. Every drive is wiped and verified to NIST 800-88, or shredded if it fails or is too old.
  3. Phones and tablets are factory reset and verified, or destroyed.
  4. You receive a signed certificate and a serial-number manifest for your trustees and data protection records.

Questions trustees usually ask

Can we prove it was done? Yes. The certificate lists every device by serial number and how it was treated.

Does anything get passed on? Equipment is processed at our own facilities in London and Nottingham. It is not passed to unknown subcontractors.

Can our equipment help another charity? Often, yes. Suitable wiped machines are allocated to verified charity requests first. See current charity requests.
